Meeting and Teaching Rooms
and how to reserve them.

There are broadly three types of rooms where groups may meet:

(1) a Department or Faculty's own rooms.

This category of room is managed entirely within the Department or Faculty, and they are generally available only to members of that Department or Faculty. If there is a requirement and a suitable room exists, this should be the first option for that Department or Faculty.

(2) ad hoc meeting rooms

There are a small number of centrally controlled and allocated rooms or spaces available at each campus. The nature of the accommodation varies from a large assembly hall to a nominal space in a foyer. If no suitable accommodation for a meeting or event is available within (1) above, allocation of one or more of these may be possible to staff members.

To check availability and book an ad hoc room, please go to Meeting Room Bookings
or in urgent cases only contact: RoomBookings@ulster.ac.uk
or if very urgent (that day) ring extension 23456 and select the appropriate option when prompted.

(3) centrally allocated teaching rooms

The main purpose of teaching rooms is teaching; however, if available, they may also be reserved for other events, in the absence of something suitable from the other two categories above. RoomBookings can advise when contacted as above.

Generally speaking, teaching rooms are allocated for all weeks in each of Semester One and Semester Two of each academic year, in a process that begins up to six months earlier. The timetable is compiled by the Space Utilisation and Timetabling Unit, from information requested from and supplied by Faculty Timetabling Coordinators, who in turn liaise with staff in their Faculty to assess and request the most suitable available accommodation at the most suitable available times in the teaching week. There are, necessarily, strict deadlines. Staff should consult with their FTCs to ensure all requirements are established in good time.

When a timetable is substantially complete it will be possible to view it on the main timetables web page.
